These Terms & Conditions ("Terms") govern access to and use of the Campus 24x7 platform ("Platform", "Service", "we", "our", "us").
The platform is a Software-as-a-Service (SaaS) solution designed for educational institutions to manage academic, administrative, and financial operations.
These Terms constitute a legally binding agreement between:
- Campus 24x7 (Service Provider), and
- The subscribing institution ("Institution", "Customer")
2. Definitions
For clarity and legal precision:
- Platform: The Campus 24x7 ERP system (web/mobile applications, APIs, backend systems)
- Institution: School, college, or organization subscribing to the platform
- User: Any authorized individual (admin, teacher, student, parent) accessing the platform
- Account: Registered access credentials linked to an institution
- Subscription: Paid or trial access to platform services
- Data: All information entered, stored, or processed within the platform
- Services: Features including admissions, attendance, fees, exams, communication, etc.
3. Acceptance of Terms
By:
- Registering an account
- Accessing or using the platform
- Purchasing a subscription
The Institution agrees to be bound by these Terms.
If the Institution does not agree, it must not use the platform.
4. Eligibility
4.1 Institutional Eligibility
- Only legally recognized educational institutions may subscribe
- The person registering must be authorized to bind the institution legally
4.2 User Eligibility
- Users must be authorized by the institution
- Users must comply with institutional policies and these Terms
4.3 Responsibility of Institution
The Institution is solely responsible for:
- Managing user accounts and permissions
- Ensuring authorized access only
- Monitoring user activity
5. Account Registration and Management
5.1 Account Creation
- Accurate information must be provided during registration
- False or misleading data may lead to suspension
5.2 Account Security
The Institution must ensure:
- Secure storage of credentials
- Strong passwords
- MFA usage where available
5.3 Unauthorized Access
Any unauthorized access must be reported immediately
The Institution bears responsibility for misuse of its accounts
6. Nature of Service
6.1 SaaS Model
- Platform is provided on a subscription basis
- No ownership of software is transferred
6.2 Service Scope
Includes but is not limited to:
- Student lifecycle management
- Attendance and examination systems
- Fee and financial tracking
- Communication tools
6.3 Service Modifications
We reserve the right to:
- Add, modify, or remove features
- Improve or update the platform
Without prior notice where necessary for:
- Security
- Performance
- Compliance
7. License Grant
We grant the Institution:
- A limited, non-exclusive, non-transferable license
- To access and use the platform during an active subscription
Restrictions
The Institution may NOT:
- Reverse engineer the platform
- Copy, resell, or sublicense the service
- Attempt unauthorized access
- Use the platform for non-educational or illegal purposes
8. Acceptable Use Policy
The Institution and its Users must use the platform strictly for lawful educational and administrative purposes.
8.1 Prohibited Activities
The following actions are strictly prohibited:
a) Unauthorized Access
- Attempting to access accounts, data, or systems not assigned to the user
- Bypassing authentication or security controls
b) System Abuse
- Introducing malware, viruses, or harmful code
- Conducting denial-of-service (DoS) or brute-force attacks
- Exploiting vulnerabilities intentionally
c) Data Misuse
- Accessing or exporting data without authorization
- Sharing sensitive student or institutional data externally without consent
d) Illegal Activities
- Using the platform in violation of applicable laws
- Storing or transmitting unlawful, defamatory, or harmful content
e) Reverse Engineering
- Copying, modifying, or attempting to extract source code
- Replicating platform features for competitive purposes
8.2 Enforcement
Violation of Acceptable Use may result in:
- Immediate suspension of accounts
- Termination of subscription
- Legal action where applicable
9. Data Ownership and Control
9.1 Ownership of Data
- All data entered into the platform remains the property of the Institution
- Campus 24x7 does not claim ownership of institutional data
9.2 Role of Platform
- We act strictly as a data processor
- Data is processed only for service delivery
9.3 Institutional Responsibility
The Institution is solely responsible for:
- Accuracy of data entered
- Lawful collection of data
- Obtaining consent (especially for minors)
9.4 Data Access
- Access to data is controlled by the Institution
- Users can access data only as permitted by assigned roles
9.5 Data Export
- Data export may be provided upon request or via system features
- Export formats and limits may apply
10. User-Generated Content
The platform may store content created or uploaded by users, including:
- Student records
- Documents and files
- Messages and notices
10.1 Responsibility for Content
The Institution is fully responsible for:
- Legality of uploaded content
- Accuracy and authenticity
- Compliance with applicable laws
10.2 Prohibited Content
Content must NOT include:
- Illegal or fraudulent material
- Harmful or abusive content
- Unauthorized personal data
- Malware or malicious scripts
10.3 Platform Rights
We reserve the right to:
- Remove content violating these Terms
- Restrict access where misuse is detected
11. Data Processing and Privacy
Data handling is governed by the Privacy Policy
The Institution acknowledges:
- It acts as Data Controller
- The platform acts as Data Processor
12. Institutional Responsibilities (Critical Clause)
The Institution must:
- Ensure lawful data collection
- Maintain proper user role assignments
- Prevent credential sharing
- Monitor internal usage
- Respond to user data requests
Failure Impact
Failure to meet responsibilities may result in:
- Data breaches
- Compliance violations
- Legal liability for the Institution
13. No Warranty on Data Accuracy
We are not responsible for:
- Incorrect data entered by users
- Outdated or incomplete records
- Misuse of system-generated reports
14. Audit and Compliance Support
The platform provides audit logs and reporting features
Institutions are responsible for:
- Reviewing logs
- Ensuring compliance with regulations
15. Subscription Model
15.1 SaaS Subscription
- The platform is provided on a subscription basis
- Access is granted only during an active subscription period
15.2 Subscription Plans
Plans may vary based on:
- Number of users
- Enabled modules
- Institution size
- Custom features (if applicable)
15.3 Trial Access (if applicable)
Trial access may be provided with limited features or duration
We reserve the right to:
- Modify or withdraw trial access
- Restrict features during trial
16. Pricing and Payments
16.1 Pricing
- Pricing is defined at the time of purchase
- Prices may vary based on configuration and scale
16.2 Payment Terms
Payments must be made:
- In advance (monthly/yearly)
Failure to pay may result in:
- Suspension of services
16.3 Payment Methods
- Payments processed via third-party payment gateways
- We do not store card or banking credentials
16.4 Taxes
- All applicable taxes (e.g., GST) are borne by the Institution
- Tax invoices will be provided where applicable
17. Renewal and Auto-Renewal
17.1 Renewal
Subscriptions may:
- Auto-renew, or
- Require manual renewal (depending on plan)
17.2 Pricing Changes
- Pricing may change upon renewal
- Updated pricing will be communicated in advance
18. Refund Policy
18.1 General Rule
No refunds after service activation
18.2 Exceptions
Refunds may be considered only in cases of:
- Duplicate payment
- Proven technical failure preventing onboarding
18.3 Non-Refundable Cases
No refunds for:
- Partial usage
- Early cancellation
- Change of requirements
- Lack of usage
19. Service Availability
19.1 Uptime Objective
Target uptime: 99%+ (best effort, not guaranteed SLA unless separately agreed)
19.2 Maintenance
- Scheduled maintenance may occur
- Emergency maintenance may be performed without prior notice
19.3 No Guaranteed Uninterrupted Service
We do not guarantee:
- Continuous availability
- Error-free operation
19.4 External Dependencies
Service availability may be affected by:
- Hosting provider issues (Hostinger VPS)
- Internet/network failures
- Third-party services (SMS, payment gateways)
20. Suspension of Services
We may suspend access under the following conditions:
20.1 Payment Default
Non-payment or delayed payment
20.2 Security Risks
- Suspicious or malicious activity
- Attempted unauthorized access
20.3 Policy Violations
Breach of Terms or Acceptable Use Policy
20.4 Legal Requirements
Government or regulatory directives
20.5 Effect of Suspension
- Temporary loss of access
- Data remains intact during suspension
21. Termination
21.1 Termination by Institution
- The Institution may terminate subscription at any time
- No refund will be provided unless explicitly agreed
21.2 Termination by Platform
We may terminate access if:
- Terms are violated
- Fraud or misuse is detected
- Legal compliance requires termination
21.3 Immediate Termination
In severe cases (e.g., illegal activity), termination may be immediate without prior notice.
22. Effect of Termination
Upon termination:
- Access to platform is revoked
- Data retention follows Privacy Policy
- Data export may be requested (subject to limitations)
23. Data Access Post-Termination
Limited-time access may be provided for data export
After retention period, data may be:
- Deleted, or
- Anonymized
24. Reinstatement
Suspended accounts may be reinstated upon:
- Payment clearance
- Resolution of violations
Reinstatement is not guaranteed
25. Intellectual Property Rights
25.1 Platform Ownership
The Platform, including:
- Software
- UI/UX design
- Source code
- Architecture
- Branding
Is the exclusive property of Campus 24x7.
25.2 License Limitation
- Institutions receive only a limited usage license
- No ownership or rights are transferred
25.3 Restrictions
The Institution may NOT:
- Copy or reproduce the platform
- Modify or create derivative works
- Reverse engineer or decompile
- Use the platform to build a competing product
26. Confidentiality
26.1 Definition
Confidential Information includes:
- Technical architecture
- Business processes
- Non-public data
- Security practices
26.2 Obligations
Both parties agree to:
- Protect confidential information
- Not disclose it to unauthorized parties
- Use it only for intended purposes
26.3 Exceptions
Confidentiality does not apply where information:
- Is publicly available
- Is required to be disclosed by law
27. Limitation of Liability
27.1 General Limitation
To the maximum extent permitted by law:
Campus 24x7 shall not be liable for:
- Indirect damages
- Loss of profits or revenue
- Loss of data due to user actions
- Business interruption
27.2 Specific Exclusions
We are not responsible for:
- Incorrect data entered by institutions
- Misuse of credentials
- Failure of third-party services
- External cyberattacks beyond reasonable control
27.3 Liability Cap
Total liability shall not exceed:
Amount paid by the Institution in the last billing cycle
28. Indemnification
The Institution agrees to indemnify and hold harmless Campus 24x7 against:
- Claims arising from misuse of the platform
- Violations of applicable laws
- Data privacy violations caused by the Institution
- Unauthorized use of third-party data
29. Disclaimer of Warranties
The platform is provided on an "as-is" and "as-available" basis.
We do not guarantee:
- Error-free operation
- Uninterrupted availability
- Suitability for specific institutional needs
30. Force Majeure
We are not liable for failure or delay caused by events beyond reasonable control, including:
- Natural disasters
- Government actions
- Network outages
- Cyber incidents beyond mitigation capability
31. Third-Party Services Disclaimer
The platform integrates with third-party services:
- Payment gateways
- SMS/email providers
- Hosting infrastructure
We are not responsible for:
- Failures or downtime of these services
- Data handled outside our controlled systems
32. Governing Law
These Terms are governed by:
Laws of India
33. Jurisdiction
All disputes shall be subject to exclusive jurisdiction of courts located in:
Punjab, India
34. Dispute Resolution
34.1 First Level
Parties agree to attempt resolution through mutual discussion
34.2 Escalation
If unresolved, disputes shall be handled under applicable Indian laws
35. Severability
If any provision of these Terms is found invalid:
Remaining provisions shall remain enforceable
36. Entire Agreement
These Terms, along with:
- Privacy Policy
- Security Policy
Constitute the complete agreement between the parties.
37. Amendments
- Terms may be updated periodically
- Continued use of the platform implies acceptance

39. WhatsApp Business API Integration (Meta Tech Provider)
39.1 Overview of WhatsApp Integration
- Campus 24x7, as a Meta-approved Tech Provider, offers an optional WhatsApp Business notification feature to institutional clients.
- This feature enables institutions to send transactional messages (fee reminders, attendance alerts, exam schedules, administrative notices) to parents and students via WhatsApp.
- This feature is powered by Meta's WhatsApp Business Cloud API and is subject to Meta's WhatsApp Business Terms of Service, Meta Business Messaging Technology Provider Terms, and Meta Platform Terms (collectively "Meta's Terms").
39.2 Institution's Obligation to Accept Meta's Terms
Before activating the WhatsApp notification feature, the Institution must:
- Accept Meta's WhatsApp Business Terms of Service
- Accept Meta's WhatsApp Business Solution Terms
- Comply with all applicable Meta and WhatsApp policies at all times
Campus 24x7 cannot activate WhatsApp features for any Institution that has not completed this acceptance.
By requesting activation of the WhatsApp feature, the Institution confirms it has read and agreed to Meta's Terms.
The Institution acknowledges that Meta's Terms are a separate agreement between the Institution and Meta; Campus 24x7 is not a party to that agreement.
39.3 WhatsApp Business Account (WABA) Responsibility
- Each Institution that activates WhatsApp services will have its own WhatsApp Business Account (WABA) provisioned through Campus 24x7's Tech Provider setup.
The Institution is solely responsible for:
- The content and accuracy of messages sent via their WABA
- Ensuring messages comply with Meta's WhatsApp messaging policies
- Maintaining their business display name, profile, and verification status
Campus 24x7 is not responsible for any WABA suspension, restriction, or termination caused by the Institution's actions or violations.
39.4 Message Template Compliance
- All Institution-initiated WhatsApp messages (business-initiated conversations) must use Meta pre-approved message templates.
- Campus 24x7 will submit standard transactional templates on behalf of the Institution for Meta's approval.
Institutions may NOT:
- Modify approved templates without resubmission for Meta approval
- Use the WhatsApp channel for promotional, marketing, or non-transactional messages without separate approval
- Send bulk unsolicited messages or messages that violate Meta's messaging policies
Campus 24x7 reserves the right to reject or not submit template requests that violate Meta's policies or applicable law.
39.5 End-User Opt-In Requirement
- The Institution is solely responsible for obtaining valid, explicit opt-in consent from all end users (parents/students/guardians) before sending them any WhatsApp messages.
Opt-in must be:
- Clear and specific to WhatsApp communications
- Documented and available for audit if requested by Meta or Campus 24x7
- Compliant with applicable Indian law (IT Act, TRAI regulations) and Meta's opt-in requirements
Campus 24x7 is not responsible for messages sent to users who have not provided valid opt-in consent.
The Institution must immediately stop sending messages to any user who opts out or unsubscribes.
39.6 Prohibited Uses of WhatsApp Feature
The Institution must NOT use the WhatsApp integration for:
- Promotional, advertising, or non-transactional messaging without express approval
- Sending spam, unsolicited bulk messages, or misleading content
- Distributing harmful, abusive, illegal, or fraudulent content
- Providing, deploying, or facilitating general-purpose AI chatbots or AI assistants (as prohibited by Meta's January 2026 WhatsApp API policy)
- Any use case outside educational administration and transactional notifications
- Attempting to circumvent Meta's rate limits, quality ratings, or policy controls
- Impersonating any person, business, or official entity
Violation of any of the above may result in immediate suspension of the WhatsApp feature and/or full account termination.
39.7 Meta's Right to Suspend or Revoke Access
- The Institution acknowledges that Meta retains the sole right to suspend, restrict, or terminate WhatsApp Business API access at any time, for any violation of Meta's Terms.
- Campus 24x7 has no liability for any disruption to WhatsApp notification services caused by Meta's enforcement actions against the Institution's WABA or against Campus 24x7's Tech Provider account.
- In the event Meta suspends Campus 24x7's Tech Provider access for reasons beyond Campus 24x7's control, Campus 24x7 will notify affected institutions promptly and work to restore access.
- Campus 24x7 will cooperate with Meta in all compliance investigations and may share Institution-level usage data with Meta as required under Meta's Platform Terms.
39.8 WhatsApp Feature - Service Availability
- The WhatsApp notification feature is an additional add-on to the core Platform.
Its availability is dependent on:
- Meta's WhatsApp Business API infrastructure and uptime
- The Institution's WABA remaining in good standing with Meta
- Campus 24x7's ongoing Tech Provider status with Meta
Campus 24x7 does not guarantee uninterrupted WhatsApp notification delivery, as delivery is subject to Meta's network, end-user device availability, and WhatsApp's message delivery policies.
Standard service availability provisions (Section 19) apply to core platform features; WhatsApp delivery SLAs are governed separately by Meta's infrastructure.
39.9 WhatsApp Feature - Pricing and Fee Transparency
- WhatsApp Business API usage may incur per-conversation or per-message charges levied by Meta.
Campus 24x7 will disclose to institutions:
- Meta's applicable API charges (as per Meta's published Rate Card)
- Any additional platform service charges applied by Campus 24x7 for WhatsApp integration, support, and management
These charges may be billed separately from the core platform subscription fee.
Meta's API pricing is subject to change at Meta's discretion; Campus 24x7 will communicate pricing changes as soon as reasonably practicable.
Institutions are responsible for all API usage charges incurred through their WABA, including charges resulting from unauthorized or excessive use.
39.10 WhatsApp Feature - Suspension by Campus 24x7
In addition to general suspension provisions (Section 20), Campus 24x7 may immediately suspend the WhatsApp feature (without suspending the core platform) if:
- The Institution violates Meta's WhatsApp messaging policies
- The Institution's WABA quality rating drops to a level that risks Campus 24x7's Tech Provider standing
- Meta requires Campus 24x7 to act against the Institution's WABA
- The Institution uses the WhatsApp channel for prohibited activities listed in Section 39.6
The Institution may appeal suspension by contacting Campus 24x7 at info@campus24x7.in.
39.11 Data Handling for WhatsApp Integration
- Data processing for WhatsApp messages is governed by the Privacy Policy, specifically the Meta Platform Data section.
Key points:
- Phone numbers and message content transmitted via Meta's API are processed strictly for message delivery
- Campus 24x7 does not store message content beyond operational delivery logs
- Message delivery receipts and logs may be retained for up to 90 days for support and audit purposes
- Meta may retain message metadata as per their own Privacy Policy and Terms
The Institution is responsible for ensuring that phone numbers of end users transmitted to Meta's API have been collected lawfully and with proper consent.
39.12 Institutional Indemnification - WhatsApp
In addition to Section 28 (Indemnification), the Institution agrees to indemnify and hold harmless Campus 24x7 against any claims, penalties, fines, or damages arising from:
- The Institution's violation of Meta's WhatsApp Business Terms of Service
- Sending messages to users without valid opt-in consent
- Unauthorized, illegal, or policy-violating use of the WhatsApp channel
- Any enforcement action by Meta against the Institution's WABA that impacts Campus 24x7's Tech Provider account
40. Meta Tech Provider - General Compliance
40.1 Campus 24x7 as Meta Tech Provider
- Campus 24x7 is a Meta-approved Tech Provider, authorized to develop and operate software solutions that leverage Meta's Business APIs on behalf of institutional clients.
- As a Tech Provider, Campus 24x7 operates under Meta's Platform Terms, Meta Business Messaging Technology Provider Terms, and applicable Meta Developer Policies.
40.2 Institution as Meta's End Customer
- For the purpose of WhatsApp Business API usage, the Institution is the end customer ("Client") as defined under Meta's Business Messaging Technology Provider Terms.
- By using the WhatsApp integration, the Institution agrees to be bound by Meta's applicable terms as the WABA owner and end operator.
40.3 Data Subject Rights via Meta
If Meta communicates a Data Subject Rights (DSR) request (access, deletion, correction) relating to the Institution's WhatsApp usage, Campus 24x7 will:
- Notify the Institution within 48 hours
- Provide reasonable assistance to the Institution to fulfill the request
- Not independently fulfill the DSR without the Institution's authorization, except where required by Meta's Terms or applicable law
40.4 Policy Changes
- Meta's Terms and WhatsApp policies are subject to change at Meta's discretion.
- Campus 24x7 will communicate material changes to these policies that affect institutions as soon as reasonably practicable.
- Continued use of the WhatsApp feature after notification of policy changes constitutes the Institution's acceptance of those changes.
- If the Institution cannot comply with updated Meta policies, it must notify Campus 24x7 and disable the WhatsApp feature.
40.5 No Liability for Meta Policy Enforcement
- Campus 24x7 has no control over Meta's enforcement decisions, including template rejections, WABA suspensions, quality rating downgrades, or Tech Provider access revocations.
- Campus 24x7 shall not be liable for any losses, disruptions, or damages arising from Meta's enforcement actions, policy changes, or platform modifications.
