World Vidya Sports Sainik School in Chhara, Jhajjar has around 450 students. Like Sri Sankalpa, Isha Rathi wanted the whole thing in one system rather than four. Unlike Sri Sankalpa, her priorities were specific from the first conversation: attendance, syllabus and timetable.

The attendance record should reflect where the student actually is and why they are not in the regular class.

Why timetable and attendance were the pressure points

Not because they were broken in an interesting way, but because they are daily. In Isha’s words: “those are things we deal with every single day. If attendance or the timetable isn’t managed properly, it affects the whole day’s schedule. We wanted those basic processes to become more organized first.”

It is a more disciplined sequencing decision than most schools make. The temptation with a new ERP is to switch on everything at once. Starting with the two processes that run every morning means the staff learn the system on the thing they do most.

The student who is at a tournament

This is where a sports school stops resembling a regular one. A student away at a competition is not absent in any sense that matters, but a system with two states, present and absent, has nowhere else to put them.

Isha’s requirement: “we can handle it based on the student’s activity or situation rather than simply treating them as absent. The important thing for us is that the attendance record should reflect where the student actually is and why they’re not in the regular class.”

Worth testing in a demo if you run a sports or residential school. Ask the vendor to mark a student as away at a competition and then produce an attendance report that distinguishes it from truancy. Plenty of systems cannot.

What syllabus tracking is actually for

Planning, rather than policing. “It gives us a clear idea of how much of the syllabus has been completed and what is still pending. It’s useful for planning because we don’t have to depend completely on individual teachers giving us updates.”

The distinction matters when you are evaluating. Syllabus tracking sold as teacher surveillance tends to get quiet resistance from staff. Sold as a planning view, with teachers updating their own coverage, it tends to get used.

The rollout

Same approach as Kadapa. Meetings first to understand what the school needed, configuration to match it, then direct training for teachers and administration staff.

What needed configuring that a regular school would not

“Our requirements are a little different because of the students’ training and activities. We needed to consider coaches, training schedules and students who may be away for tournaments. So the system had to work around those requirements rather than just a normal classroom schedule.”

That last clause is the whole argument for configuring around a school rather than asking it to adapt. A sports sainik school that has to force its training schedule into a template built for a regular day school ends up maintaining the real schedule somewhere else, which defeats the purpose of having one system.

Week one, and where things stand now

The first week was a transition rather than a failure: “there was some confusion because we were moving from our old way of working to a new system. A few people needed help understanding where to enter things and how the workflow worked. But that was mostly part of the transition.”

What changed afterwards, in her words, is visibility: “earlier, we had to ask different people for different information. Now we can see much more of it in one place, and that makes it easier to keep track of students, attendance and the overall schedule.”

For a school where a student might be in class, at training or away at a tournament on any given morning, knowing which without ringing three people is most of the benefit.

What we still do not do well

Foundation is Android-only. iOS arrives from the Growth plan upward, so a parent on an iPhone is using the web version until the school moves up a plan.

There is no biometric or RFID marking. Attendance is mobile-only by design. For a school that wanted a fingerprint device at the gate, that is a straight no rather than a roadmap promise.
