Does School ERP Software Work With WhatsApp?

Yes, through the WhatsApp Business API. A school ERP sends attendance alerts, fee reminders, exam results and announcements to parents on WhatsApp, and the parent receives them from a verified business number rather than a teacher's personal phone.

The rules are stricter than most schools expect, and the cost is not zero. Both are worth understanding before a vendor demo, because the limits come from Meta rather than from the ERP, and no vendor can remove them.

Business API versus a teacher's personal WhatsApp

Most Indian schools start with class groups run from teachers' personal numbers. It works until it does not.

The practical trigger for schools is usually a dispute. A parent says they were never told about a fee deadline, and the only record is in a WhatsApp group a teacher has since left. The API version puts that message against the student record with a delivery timestamp.

What a school can and cannot send

This is where most expectations need adjusting. WhatsApp divides messages into two kinds.

Template messages are pre-approved formats you can send at any time. Every proactive school message is one of these: absence alerts, fee reminders, exam schedules, result notifications, holiday announcements, transport delays. The text is fixed, with variable slots for the student name, amount, date and so on.

Session messages are free-form and can only be sent inside a 24-hour window that opens when the parent messages you first. If a parent asks a question at 10am, your office can reply freely until 10am the next day. After that, only a template.

What this means in practice:

  • You cannot send an arbitrary ad-hoc message to a parent who has not contacted you recently. It has to be a template.
  • You can reply freely to a parent who just asked something.
  • You cannot use WhatsApp for marketing to people who have not opted in. Admission promotion to a purchased contact list is a policy violation and risks the number.
  • You can message parents of enrolled students about school matters, since that is an existing business relationship, provided they have not opted out.

Opt-out must be honoured. A parent who replies STOP must stop receiving messages, and the ERP should record that rather than requiring someone to remember.

How template approval works

Each template is submitted to Meta and reviewed, usually within 24 to 48 hours, though it can be longer during busy periods. Approval is per template, not per message.

A template looks like this:

Dear {{1}}, your ward {{2}} of class {{3}} was marked absent today, {{4}}. Please contact the school office on {{5}} if this is incorrect.

The fixed text is approved once; the variables are filled per send.

What gets rejected, in rough order of frequency:

  • Promotional language in a template submitted under a utility category
  • Spelling and grammar errors, which are treated as a quality signal
  • Variables at the very start or end of the message, or two adjacent variables
  • Vague content where the reviewer cannot tell what the message is for
  • Anything resembling a loan, lottery or prize offer

Practical consequences for a school: build your templates before admission season, not during it. A fee reminder template rejected on 1 April is a week of manual calling. Most schools need somewhere between eight and twenty templates to cover a year, and regional language versions are separate templates requiring separate approval.

What actually costs money

WhatsApp Business API is billed by Meta per conversation, not per message, and the rate is set by Meta rather than by your ERP vendor. A conversation is a 24-hour window, so several messages to the same parent inside one day usually bill once.

Meta prices conversations by category, and the categories matter to schools:

  • Utility conversations cover transactional messages: fee receipts, attendance alerts, exam schedules. This is most school traffic and is the cheaper band.
  • Service conversations are parent-initiated. These are free in current Meta pricing.
  • Marketing conversations cover promotion, including admission campaigns, and are the most expensive band.
  • Authentication covers OTPs.

Because Meta sets these rates and revises them periodically, no vendor can honestly offer unlimited WhatsApp. Treat an unlimited claim as a reason to ask exactly what happens at ten times your expected volume.

What to establish with a vendor before signing:

  1. The included monthly conversation allowance, as a number
  2. The overage rate, and whether it is billed at Meta's cost or marked up
  3. Who owns the WhatsApp Business account, the school or the vendor
  4. What happens to the number and templates if you leave

Point three matters more than it sounds. If the vendor owns the business account, your verified number and approved templates do not travel with you.

Setup: what a school has to do

Setup is mostly paperwork and usually takes one to two weeks.

  1. A phone number not currently registered to any WhatsApp account. A new SIM is cleanest. A number already on personal WhatsApp must be deleted from it first, which erases that history.
  2. Facebook Business Manager verification for the school, requiring registration documents and proof of address. This is the step that takes longest.
  3. Display name approval, which must plausibly match the verified business name.
  4. Template submission, 24 to 48 hours per batch.
  5. Parent number data cleaning, which schools consistently underestimate. Numbers must be in international format and belong to the parent rather than the student. Expect to find duplicates, landlines and disconnected numbers.
